TM30: what to ask your landlord and check yourself

Confirm the accommodation report with your landlord: who submits it, when, and how you receive the record.

Start with these three things

  1. TM30 is an accommodation report made by a householder, owner, hotel manager or other responsible host accommodating a foreign national.
  2. The basic reporting deadline is within 24 hours of arrival at the accommodation.

Planning tips (not official rules)

  1. Before moving in, agree who will submit the report and how the receipt will be shared.

Steps

"Tip" marks a planning suggestion, not an official rule.

  1. Tip Ask the landlord or manager who handles TM30 when booking or discussing the lease.
  2. Tip Check the arrival date, passport name and full address, including the room, with the landlord. Share necessary information with the person’s consent.
  3. The government information article supplied by Immigration lists in-person or representative submission, registered post and online reporting.
  4. Tip Confirm the submission date and receipt, and keep them with your stay records. If the report cannot be found, check with the landlord and local Immigration office.

What to prepare

"Tip" marks a planning suggestion, not an official rule.

  • Tip Have your passport, entry date, arrival date at the accommodation and address available. The reporting landlord should confirm the latest formal documents with the local office or official system.
  • Current landlord forms, required copies and online-screen details remain unverified. Ask your landlord and Immigration for the latest instructions for your submission method.

Things to watch for

Planning tips (not official rules)

  • If a verbal assurance that the report was submitted leaves uncertainty, ask for the date and receipt. A missing receipt alone does not prove non-submission; check the registration first.

Separate the host’s report from your own reporting

The government article supplied by Immigration explains reporting by the party providing accommodation to the local Immigration office. The Japanese Consulate-General in Chiang Mai also describes the owner as responsible for apartments and similar accommodation.

Planning tips (not official rules)

Ask the accommodation provider who submits it before assuming you must handle everything. For either a short stay or a lease, contact the booking or contract representative if responsibility is unclear.

Check the details when moving in

Planning tips (not official rules)

Use the actual arrival date and address in messages to the landlord, and check that an old room number or another property name has not been mixed in. Before sending a passport image, verify the recipient and purpose; do not post it in a public group.

When you receive the record, compare the displayed name, passport number, accommodation and reporting date. Ask the submitter about unfamiliar numbers or spelling differences before using it for another application.

Moving, travelling and re-entering

"Tip" marks a planning suggestion, not an official rule.

Current exceptions to re-reporting after returning to the same address remain unverified. Do not assume every trip requires a report or one report remains sufficient indefinitely; ask your landlord and Immigration.

Tip Once a move is planned, ask the new landlord about reporting and receiving the record. Put your old address, new address and moving date on one note.

Chiang Mai Immigration lists 90-day reporting and extensions separately from accommodation reporting. Receiving a TM30 receipt does not replace checking your next personal procedure.
